Data Handling
This page describes how BeanCounter handles the data you share with the Service. It complements our Privacy Policy and Terms of Service.
What data we hold
- Your books. The bookkeeping and business data you share — invoices, expenses, receipts, and the figures needed to keep your accounts.
- Account data. The details needed to run your account, such as your name, email, and business setup information.
- Payment data is held by our merchant of record. Purchases are processed by Polar, who acts as the merchant of record. Full card details are handled by Polar, not stored by BeanCounter.
Where your data lives
Each customer’s books are kept in their own isolated space, separated from other customers’ data. Access is restricted to the systems and people who need it to operate the Service.
Security
- Data is encrypted in transit using industry-standard transport security.
- Access to your data is limited and logged.
- Payment-card data is handled by our PCI-compliant merchant of record, Polar, rather than by BeanCounter.
No system is perfectly secure, so we cannot guarantee absolute security, but we use reasonable measures designed to protect your data.
Retention and deletion
We keep your data while your account is active and as needed to provide the Service. After that, we retain it only as long as required to meet legal, accounting, and regulatory obligations, then delete or anonymize it.
Sharing
We do not sell your data. We share it only with the service providers needed to run the Service (such as our payments partner Polar, hosting, and infrastructure providers), or where required by law.
Your control
You can request a copy of your data, ask us to correct it, or ask us to delete it, subject to the records we are legally required to keep. To make a request, contact us below.
